Workspace Roles & Permissions

Updated by Rishav

Curvo workspaces have three distinct roles, each designed for a specific user type and use case. Understanding the differences helps you assign the right level of access to each team member during setup.

The Three Roles

Workspace Owner

The Workspace Owner has full administrative and operational control over the workspace. This role is typically assigned to a sales leader: a sales manager, VP of Sales, or CRO who oversees the team's Curvo deployment and is responsible for workspace configuration.

What Workspace Owners can do:

  • View every meeting recorded by every team member in the workspace

  • Manage workspace integrations (calendar, CRM, playbook uploads)

  • Adjust retention policies and recording preferences

  • Invite, manage, and remove team members

  • Configure default meeting preferences and workspace settings

  • View workspace commercial details (seat count, deal type, customer type) on a read-only summary

Note: Commercial parameters like customer type, seat count, deal type, and POC dates cannot be changed by the Workspace Owner. These are set by Curvo during initial provisioning and can only be modified by Curvo's internal admin team. If your customer's needs change, they'll need to request an update through Curvo's sales or customer success team.

A workspace can have multiple Owners if needed, though typically there is one primary Owner.

Workspace Member — Team

Team members with the Team role can view all meetings recorded by any rep in the workspace. This role is ideal for sales managers, coaches, or team leads who need full visibility across their team without needing administrative control.

What Team members can do:

  • View their own recorded meetings and post-meeting analysis

  • View all meetings recorded by any workspace member

  • Participate in group coaching and performance reviews

  • Access Curvo insights and coaching recommendations

What Team members cannot do:

  • Change any workspace settings (integrations, playbook, retention policy)

  • Invite or manage other users

  • Modify commercial parameters

Workspace Member — Individual

Individual members can only view their own recorded meetings and personal post-meeting analyses. This is the most restricted role and the most common one for individual contributors, sales reps, and team members focused on their own performance.

What Individual members can do:

  • View their own recorded meetings and post-call analysis

  • Access post-meeting summaries, MEDDPICC scores, coaching insights, and AI Chat

  • Connect their personal calendar and CRM settings

  • Install Companion on their device (if applicable)

What Individual members cannot do:

  • View any team member's meetings

  • Change workspace settings

  • Invite or manage other users

Configuration Ownership: Who Sets What?

Understanding who owns each type of configuration prevents confusion during onboarding and helps you set the right expectations with customers. Curvo configuration falls into three categories, each with different ownership rules.

Commercial Settings (Curvo Admin Only)

These parameters are locked in by Curvo's internal team during workspace provisioning and cannot be changed by the customer:

  • Number of purchased seats

  • Deal type (Pilot/POC or Paid Rollout)

  • POC start and end dates (if applicable)

  • Currency

  • Customer type (Post-Call Only, Post-Call + In-Call Bot, Post-Call + In-Call Companion, or Companion Only)

  • Feature flags derived from customer type (bot enabled, recording enabled, Companion enabled)

These parameters affect billing, trial expiration, feature availability, and user onboarding flows. Locking them in ensures consistency and prevents accidental changes that could break the workspace or create billing disputes.

The Workspace Owner can view these on a read-only summary card to understand what's been provisioned, but cannot modify them. If a customer needs to change customer type or purchase additional seats, they must request the change through Curvo's sales or customer success team.

Workspace Product Configuration (Admin Pre-fills, Owner Reviews)

These settings are pre-configured by Curvo's admin team based on the customer's needs. The Workspace Owner reviews and optionally adjusts them during onboarding:

  • Language support and transcription settings (AssemblyAI for English-only, Gladia for multilingual)

  • Recording scope (external meetings only vs. all meetings)

  • Internal email domain (required if recording external meetings only)

  • Sales framework or methodology (MEDDPICC, MEDDICC, etc.)

  • Default meeting preferences (auto-record, auto-share to CRM, etc.)

  • Data retention policy

By pre-filling these settings with sensible defaults, the Workspace Owner can get started quickly without making every decision from scratch. They walk through each setting to confirm it matches their team's workflows, but they're not starting from a blank slate.

⚠️ Important: The retention policy requires explicit Owner confirmation due to legal and compliance implications. The Owner must actively review and accept the data retention terms before the workspace is fully active.

Customer Environment (Owner and Members Only)

These configurations cannot be pre-filled by Curvo because they require customer-specific information that only the customer can provide:

  • Calendar connection (Google Calendar or Microsoft Outlook)

  • CRM connection (HubSpot, Salesforce, Pipedrive, Zoho, Close, etc.)

  • Companion installation (for Companion-enabled workspace types)

  • Sales playbook or knowledge base upload

  • Personal profile settings

Who does what:

  • Workspace Owner: Connects workspace-level integrations (CRM and playbook) that apply to the whole team

  • Individual Members: Connect their own calendar, install Companion on their device, and set up their personal profile

These are user-only by design. Curvo has no way to pre-configure a customer's calendar or CRM without explicit user action and authorization.

Setting Roles During Workspace Setup

When you create a workspace, you assign each team member a role during the setup wizard. This can be changed at any time, so don't worry about getting it perfect the first time. You can promote someone from Individual to Team or add a second Workspace Owner as your team grows.

Quick guide for assigning roles:

  • Workspace Owner: Sales leader, team manager, or CRO who will oversee Curvo adoption and manage integrations

  • Member — Team: Sales managers, coaches, or team leads who need full visibility for coaching and performance reviews

  • Member — Individual: Individual contributors, sales reps, and team members focused on their own performance
